I picked this off one of the systems I currently have access to - hope no one minds the re-publishing here, but I thought this was of considerable interest to the information governance work I’m currently doing;

Aftermail
Are you prepared for the introduction of Aftermail on 1st January 2006?
Aftermail is the Council’s new corporate email archive system. All emails
sent and received on the Council’s email system will be stored automatically
by Aftermail for a retention period (see below) of up to seven years. All
emails in your Inbox, Sent Items and Folders will be stored by Aftermail. It
is therefore very important that you review your email before 1st January
and delete unwanted messages.
Before sending an email, you will be asked to classify your message. At
present, there are seven classifications. The retention period is less than
seven years for the classes of emails mentioned below.
1. Personal (7 months)
2. Officer Draft (7 months)
3. Circulars / Communication and Information (7 months)
4. Meeting Request (1 month)
5. Members Draft and Discussion (1 month)
6. Members Other (Not Casework) (7 months)
7. Union (To Be Agreed)
If none of the above is selected, the default classification will apply and
the email will be stored for 7 years. All emails are automatically deleted
from Aftermail at the end of the retention period. Further information is on
the Information Governance web pages.
If you use the Council’s email system to send personal messages, these
messages must be classified as “Personal” when prompted by the
classification list. If you receive personal messages, please ask your
correspondents to use the word “Personal” in the header, otherwise these
messages will be stored automatically for seven years.
